The Associate Grants Management Specialist develops and utilizes knowledge, skills, and abilities to support departmental research administration at National Jewish Health serving as a resource throughout the lifecycle of the grant management process.Essential Duties * Assists the financial management of externally funded research projects. Coordinates all aspects of the grant application process, ensuring proposals are submitted in an accurate and timely manner, consistent with sponsor and institutional requirements. Ensures awarded projects are properly managed within the budget and terms & conditions of the award.
- Understands and ensures compliance with regulatory requirements and National Jewish Health policies. Maintains working knowledge as regulations and policies change.
- Assists in budget development process in partnership with Grant Management Team. Works with other members of the PIâs team to make certain each budget fully reflects the specifics of the project and is compliant with the sponsorâs requirements.
- Enters grant applications into electronic systems - i.e., Cayuse - and/or ensures the entry of the required components. Works with sub recipients and vendors to obtain the necessary information and/or certifications. Collaborates with other members of the PIâs team to meet grant deadlines. Completes the Internal Research Review form (IRR).
- Reviews grant expenditures are appropriate and compliant with relevant regulations and policies in partnership with Grants Management Specialist; reviews quarterly grant expenditure certification reports for faculty review and approval.
- Tracks project invoices from submission to payment and facilitates approval of individual purchasing and payment transactions as appropriate. Reviews costs are consistent with the budget to make sure sufficient funds are available to meet the programmatic goals of the project in partnership with the Grants Management Specialist
- Assists in preparation of reports of actual and projected financial position for individual projects and an investigatorâs complete portfolio. Reviews funding gaps and opportunities and makes recommendations to address in partnership with the Grants Management team. Meets regularly with investigators to review grant finances.
- Tracks time and effort reporting, salary distributions, and financial and narrative reporting requirements.
- Works closely with Sponsored Projects Office on the project establishment, award management, and close-out processes.
- Provides general back-up that could include any support necessary for other Grants Management Team members in the accomplishment of departmental and institutional goals.

- Work Experience: A minimum of six (6) months financial or research administration experience ideally in an academic, research or governmental organization required. Experience with grants and related regulations preferred.
