Responsibilities
- Managing schedules and calendars
- Coordinating virtual meetings
- Handling correspondence
- Maintaining accurate records and digital files
- Handling phone calls and email communication professionally
- Directing inquiries to appropriate contacts
- Providing timely information to internal and external stakeholders
- Supporting executive-level staff with travel arrangements
- Meeting preparation
- Document formatting
- Basic reporting tasks
Skills
- Strong Administrative Assistance and Clerical Skills, including scheduling, document management, and record keeping
- Professional Phone Etiquette and Communication skills for interacting with students, staff, and external partners
- Experience providing Executive Administrative Assistance, such as calendar management, meeting coordination, and travel support
- Proficiency with office software (e.g., word processing, spreadsheets, presentation tools) and digital collaboration platforms
- Excellent written and spoken English
- Ability to work independently in a remote setting, manage multiple priorities, and maintain confidentiality
- Relevant education in administration, business, or a related field, or equivalent practical experience
- Additional language skills, especially Swedish
- Prior experience in an academic or research environment
